Data quality

Data quality is a data management concept that describes how well information fits its intended task. A tour pickup list needs more than filled cells: the location must match the confirmed instruction for that departure. Checking the format does not establish that the place is correct or the instruction still applies.

Use the term when you decide whether booking details are ready to guide a pickup, or whether a report has enough evidence for a decision. Name the task before judging the records. Moving or storing information is a separate question from whether you can safely use a particular field.

Key points

  • Judge a field against a named task and departure date.
  • Keep completeness, format and accuracy checks separate.
  • Hold a required instruction when evidence is missing, outdated or contradictory.
  • Record who verifies the problem and what evidence would permit use.

What is data quality?

Data quality is the fitness of information for a specified use, judged against what that use needs. For a pickup list, assess the fields needed to direct the departure, rather than treating a tidy spreadsheet as proof. A usable reservation reference does not settle a disputed pickup location.

The Government Data Quality Hub states: “Good quality data is data that is fit for purpose.”

Keep these neighboring topics separate from your quality decision:

  • ETL: a process that extracts, transforms and loads data; data quality concerns whether those records fit their intended use.
  • Data lake: a store of data in its original form; storing records does not establish their quality.
  • Customer data platform: software that combines customer data into unified profiles; combining records does not establish their fitness for a task.

How data quality works in practice

Start by naming the required fields, then compare their contents with the evidence for the departure. This page uses a field-level fitness card to keep the check and the decision together.

Checks for a tour pickup list

Use these dimensions as questions, without assigning invented scores:

Dimension Check for the pickup task
Completeness Is the required pickup location present?
Validity Does the location follow the agreed format?
Accuracy Does it agree with the confirmed pickup instruction?
Consistency Do the reservation and departure records agree?
Timeliness Does the instruction apply to this departure?
Uniqueness Is the same reservation duplicated in this departure’s list?

Copyable field-level fitness card

Fill the brackets from checked records. Write “unknown” where evidence is absent, and copy the card for each required field.

Card line What to record
Intended task and date [Task and departure date from the confirmed schedule]
Field and meaning [Field name and its agreed meaning for this task]
Source and extraction date [Source record, version and date the list was extracted]
Required check [Relevant dimension and the condition needed for use]
Observed evidence [Exact value and supporting record, or unknown]
Effect on the task [Instruction blocked by this gap or conflict]
Correction owner [Named person authorized to verify and correct it]
Use or hold [Use for this task if checks are met; otherwise hold, with missing evidence and next check]

Our advice: a format pass must not override conflicting evidence. Hold the affected instruction until its authorized owner checks the source and resolves the conflict.

Fictitious example: a pickup location stays on hold

A small tour operator prepares a pickup list from supplied reservations. In this illustrative example, the reservation says Harbor Gate while the departure instruction says Museum Entrance.

The scenario assumes that the operator requires a named entrance as the location format. The card records what remains unresolved.

Card line Filled example
Intended task and date Prepare pickup instructions for the departure identified in the supplied schedule.
Field and meaning Pickup location: the entrance where the guest should wait for this departure.
Source and extraction date Reservation export and departure instruction; extraction date unknown.
Required check Presence, agreed format, confirmed location, agreement between records, applicability to departure and duplicate reservation check.
Observed evidence Completeness: present. Validity: named entrance matches assumed format. Accuracy: pending verification. Consistency: conflicting locations. Timeliness: applicability pending. Uniqueness: not yet checked.
Effect on the task The location cannot yet support a confirmed pickup instruction.
Correction owner Operations owner, assumed authorized for this example.
Use or hold Hold the location instruction. Obtain the current confirmed source, resolve the conflict and check for duplicate reservations before release.

The owner next verifies the instruction for the scheduled departure and records the extraction date. Independently confirmed fields stay separate from the held location. This example establishes neither an accurate list nor an actual pickup error.

Release an instruction only against recorded evidence for its intended departure.

Why data quality matters for tourism businesses

Use the quality check to decide what you can act on now and what needs verification. In the example, filling the location cell did not resolve the conflicting instruction. Our advice: address the blocked pickup decision before spending time on cosmetic changes to the list.

The same caution appears in the Affiliate Marketing Manager for Tourism instructions: check “link tagging, consent, duplicate attribution, refund treatment and data quality before interpreting performance.”

Keep your conclusion bounded. Approval of a location for a specified departure is not approval of the dataset for another task. For a separate resource, see our article on the tourism data quality checklist.

How to get started with data quality

  1. Choose the immediate task. Write the departure date and the fields needed to carry it out.
  2. Gather the current evidence. Identify the supplied list, its extraction date and the confirmed instructions against which you will check it.
  3. Complete the fitness card. Keep observations separate from assumptions. Assign the unresolved field to an authorized correction owner.
  4. Record the next decision. Use independently confirmed fields only within their checked scope. Hold affected instructions until the required evidence is available.

How we help. For field definitions, the CRM Manager for Tourism can draft a data dictionary. For a separate planning task, the AI Readiness & Implementation Planner builds an AI readiness and implementation plan from data quality and other inputs. The fitness card above is this page’s method.

Frequently asked questions

What does data quality mean?

Data quality means how well information suits the purpose you intend to use it for. For a tour departure, judge whether the required reservation details support the pickup instruction. The decision needs evidence about that departure, rather than a general label such as “clean data” applied to the file.

Write the purpose beside the result so someone reusing the list can see the limits of the check.

What are the dimensions of data quality?

Data quality dimensions include completeness, validity, accuracy, consistency, timeliness and uniqueness. For a pickup list, they distinguish a location being present from its format being acceptable or its content matching the confirmed instruction. Turn each dimension into a question tied to the departure you are preparing.

Record evidence beside each answer. An unchecked dimension stays unknown; passing the format check does not settle the others.

Can complete data still be inaccurate?

Yes. A pickup-location cell can contain a place name while conflicting with the confirmed instruction for that departure. Presence answers the completeness question; it does not establish accuracy. Hold the conflicting pickup instruction until the location evidence is resolved.

Ask the authorized owner to verify the instruction before replacing the value. Choosing the newer-looking file alone does not verify the pickup location.

How can a tourism business check data quality without historical records?

You can check a current list against the task and source records available now. Start with the required fields and record what you can verify for the specified departure. You do not need a historical score to identify a blank location or a conflict between supplied instructions for that same departure.

Without records, leave the quality assessment open and assign a collection task. Do not turn missing history into a claim that quality has improved.
